Freight forwarding

We build the operations system for freight forwarders

AI drafts the HBL, manifest, and debit note from the invoice and packing list you receive, and checks HS codes and weights match. One app for your documentation desk, live in days.

AI enters the shipment data

Reads the freight invoice, packing list and C/O as they arrive and fills in the shipment record. No one keys it in.

AI checks the numbers match

Compares the freight invoice against your own tariff, checks HS codes and weights across the set, and watches the SI cut-off.

AI drafts the documents that go out

Drafts the HBL, manifest and debit note on your own templates. Your team reviews before anything is sent.

The whole shipment process on Lotics

Each stage records the shipment, AI handles the documents and the checks, and the next step fires on its own.

  1. 01

    Inquiry & quote

AI reads the inquiry email, finds the matching rate on your tariff, and drafts the quotation with the customer, route, cargo, and Incoterm already filled in. Win it and a shipment record opens on its own, with the customer linked.

  2. 02

    Booking

AI reads the booking confirmation and fills in the carrier, vessel and voyage, container details, and the SI and CY cut-offs. The shipment moves to Booked and the SI cut-off lands on the calendar.

  3. 03

    Export documents

From the commercial invoice and packing list, AI drafts the shipping instruction and the House B/L, carrying the shipper, consignee, HS codes, and weights across. It cross-checks the three against each other, and any figure that doesn't match is flagged for your team to approve before the B/L goes out.

  4. 04

    Customs clearance

AI fills the customs declaration from the shipment record — the HS lines, duty, and declaration number. The browser extension enters it into VNACCS for the broker to submit, and the clearance status follows.

  5. 05

    Departure & arrival

AI reads the carrier's updates and the arrival notice and refreshes the on-board date, ETA, and free-time expiry. The shipment moves to In transit, then Arrived, and the free-time clock starts on its own.

  6. 06

    Delivery & debit note

AI drafts the delivery order, and once the cost and revenue lines are in, the debit note against them. The debit note posts to accounting and the shipment's margin updates the moment it does.

An app for every desk

Sales, documentation, operations, and managers each get their own app — all reading and writing the same shipments.

Sales desk

Sales sees quotes and rate requests in a queue; winning one opens the shipment on its own.

Documentation cockpit

The docs team works one shipment with its whole document set and the draft-and-approve buttons in a single view.

Operations board

Operations watches every shipment by stage, with cut-offs and free-time deadlines surfacing in red.

Month-end dashboard

Managers see pipeline counts, monthly revenue, and the margin on every shipment as costs land.

The routine runs without you

Status moves itself, deadlines raise their hand, and the numbers get approved before they go out.

Status keeps itself current

As booking, arrival, and clearance land, the shipment stage moves on its own.

Deadlines never slip

Two days before the SI cut-off without documents, the owner is alerted.

Free time is watched

Containers nearing the end of free time surface before demurrage starts.

Off-tariff rates need sign-off

A quote below your tariff waits on a manager's approval before it's confirmed.

"Documentation used to take around 2 hours/day; now it's usually done in 5 minutes. Most importantly, the team works from one set of numbers instead of conflicting files."

Frequently asked questions

Typically 1-2 weeks. Week 1: build the data tables, document templates, and import existing data. Week 2: train staff and run real bookings. Setup is included in the plan.

Time with the team during the audit, the document templates and data you work with today, and someone to review as we build. We handle the rest.

No. The sales desk, documentation cockpit, and operations board all read and write the same shipment data — one source of truth, many purpose-built apps onto it. The scattered files and Zalo threads you have now are exactly what that removes, not adds to.

Invoice, Packing List, and HBL are drafted at once from shipment data. One entry, the whole set out, numbers always match. 30 minutes becomes 5.

Manual copying across multiple files causes discrepancies. Lotics uses the same data source for all documents, so Invoice, PL, and B/L always match.

Shipment status tracks each stage: Booking, Vessel departed, Vessel arrived, Customs clearance, Trucking, Delivered. Filter by status to see which shipments are stuck.

Yes. AI reads booking confirmations, SIs, and invoices from email, then fills container numbers, weights, and ETDs into the shipment record.

Create manifest templates per carrier. Select the carrier on the booking and the manifest uses the correct format automatically.

All communications, notes, and attachments are saved per shipment. New hires read the processing history and immediately understand where each shipment stands.

Create incidents linked to shipments. Categorize by issue type, track resolution, and add notes. Full history for future reference.

Email, shipping line portals, customs filing systems, and accounting software. Data syncs, so nothing is entered twice.

Yes. Lotics supports spreadsheet import. Our team handles data conversion and import while we build the system.

Yes. Integrated with e-invoice providers and popular accounting software. Shipment and cost data syncs to accounting automatically.

Yes. Role-based permissions control who can view, edit, or approve specific records. Each person sees only what is relevant to their role.

Yes. Every change is logged with who made it, what changed, and when. Full history on any record for audits, disputes, or internal review.

Cloud servers in Singapore, encrypted in transit and at rest. Daily automatic backups. You own your data and can export everything at any time.

Yes. iOS and Android. Check status, receive notifications, and approve requests on the go. Real-time sync with web.
